Privacy Policy

Your privacy and data security are paramount to us. Learn how we protect your information and handle your files.

Last updated: September 13, 2025

PDFWord ("we," "our") is committed to protecting your privacy. Our website provides free online PDF and Word file conversion tools (e.g. PDF→Word, Word→PDF, Merge PDF, Compress PDF). We do not require account creation or personal sign-up. We collect only the data needed to provide and improve our services, and we handle all files securely. For example, all uploaded files are deleted immediately after conversion to protect your privacy. This Privacy Policy explains what information we collect, how we use it, and your choices under applicable privacy laws.

Information We Collect

Uploaded Files (File Data)

When you use our conversion tools, we collect the documents you upload (PDFs, Word files, images, etc.) and process them as requested. For example, the PDF files you upload and the resulting Word documents are considered file data. We only use this information to perform the conversion and provide the service, then delete it.

Technical Data

We automatically collect technical information about your device and connection. This includes your Internet Protocol (IP) address, browser type and version, operating system, and other system or device information. These details help us maintain our servers and diagnose issues.

Usage Data

We log usage information such as the dates and times you access our site, pages visited, tools used (e.g. converting or merging files), and other activity. These log files may include referring/exit pages and click counts. This data is used to analyze trends and improve the site. None of this data is linked to your identity unless you explicitly provide personal information.

Cookies and Tracking

Like many websites, we use cookies and similar tracking technologies to enhance your experience. Cookies are small text files stored in your browser. We use them to remember your preferences and to help the site function (for example, enabling certain features). You can disable cookies in your browser if you wish, but note that disabling cookies may prevent parts of the site from working properly. We also use cookies and web beacons for analytics and advertising (see below).

File Handling and Security

Temporary Storage & Deletion

Uploaded files are stored only briefly on our servers for processing. After conversion is complete, your files are automatically and permanently deleted – typically within 24 hours or immediately upon delivery of the result. We do not keep your files longer than necessary. This ensures your data remains safe and private.

Secure Storage

While your files are on our servers, we protect them with industry-standard security measures. We store all documents in secure, access-controlled systems. We use encryption and secure transfer protocols to protect files in transit and at rest, ensuring that data is unreadable to unauthorized parties. Only authorized personnel or systems (on a need-to-know basis) can access these files during processing.

No Sharing of Files

We will never sell or share your uploaded documents or personal files with third parties without your explicit consent. Uploaded files are used solely to fulfill your requested service. As one example policy states, "Uploaded documents will not be shared, sold, or disclosed to third parties without your consent, unless required by law". We honor this – your data is not used for marketing or any purpose other than the service itself.

Data Retention

Personal data (like technical logs or account info, if any) is kept only as long as needed. We retain information solely to comply with legal obligations and to support our services. Once data is no longer needed, it is securely deleted or anonymized. In certain cases, we may anonymize data (removing identifiers) for analytics or research, after which it cannot be traced back to you.

Cookies and Third-Party Services

Analytics (Google Analytics)

We use Google Analytics to gather anonymous statistics about site usage (page views, tool usage, etc.). Google Analytics uses cookies to track visits and events on the site. We disclose this usage in our policy as required by Google. (For more on Google Analytics' data use, see Google's own privacy terms.) Analytics data helps us improve our tools and user experience.

Advertising (Google AdSense)

If we display ads (e.g. Google AdSense), they may set cookies (including Google's DART cookies) to serve relevant ads. Google, as a third-party vendor, may use those cookies to serve ads based on your prior visits. You can opt out of such cookies by visiting Google's ad settings and policies. We do not control these cookies, but we include this notice per Google's terms.

No Sale of Personal Data

We do not sell your personal data or browsing information to advertisers. Any third-party providers (analytics or ads) are bound by their own privacy policies.

Data Security Practices

We implement technical and organizational measures to safeguard your data. This includes firewalls, encryption, and access controls. We continuously update security practices to guard against unauthorized access, alteration, or disclosure.

While we strive for maximum security, no system can be 100% guaranteed. We monitor our systems for vulnerabilities and breaches. In the unlikely event of a data incident, we have procedures to notify affected users and comply with legal breach-notification requirements.

GDPR & CCPA Compliance

GDPR (EU)

We comply with the European Union's General Data Protection Regulation. We limit data collection to what is necessary (data minimization) and process data lawfully and transparently. EU users have rights under GDPR – including the right to access your personal data, correct inaccuracies, erase data ("right to be forgotten"), and data portability. We honor these rights and allow you to exercise them (see "Your Rights" below).

CCPA (California)

California residents are protected under the California Consumer Privacy Act. Among other rights, CCPA grants the right to know what personal data is collected about you, to request deletion of your data, and to opt out of the sale of personal data (we do not sell your data). You also have the right not to be discriminated against for exercising these rights. We adhere to CCPA requirements for transparency and data protection.

Your Rights and Choices

You have control over your personal data and privacy preferences:

Access, Correction, Deletion

Under GDPR/CCPA, you may request a copy of any personal data we hold about you. You may also request corrections to inaccuracies or deletion of your data and uploaded documents (subject to legal obligations).

Opt-Out of Analytics

You can prevent Google Analytics from collecting data by disabling cookies or using a browser plugin (e.g. Google's Analytics Opt-out Add-on).

Cookie Control

Your browser settings allow you to refuse or remove cookies. If you disable cookies, some parts of the website may not work as intended.

Marketing Communications

Although we generally do not use your data for marketing, if we send any newsletters or updates, you can unsubscribe at any time.

To exercise any of these rights or make a request, please contact us at the address below.

Policy Updates

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically. If we make material changes affecting your rights or how we process your data, we will notify you (for example, by email or an announcement on our site). Continued use of our services after any update indicates your acceptance of the revised policy.
